An AI acceptable use policy defines the rules of engagement: which AI tools are approved, what data can be entered, how outputs must be reviewed, and what happens when someone violates the policy. Without one, every employee is making their own judgment calls about data privacy, accuracy, and compliance.
NIST''s AI Risk Management Framework (AI RMF) identifies "organizational governance" as the foundation layer for responsible AI adoption. The EU AI Act, which entered full enforcement in 2025, explicitly requires organizations to have documented AI usage policies for high-risk applications. Even for companies not subject to EU regulation, having a policy is table stakes for enterprise customers, audit readiness, and cyber insurance renewals.
Why Every Company Needs an AI Use Policy Now
Gartner''s 2026 AI Governance survey of 1,200 organizations found that 64% of companies have no formal AI usage policy. Of the 36% that do, only 12% have policies that cover generative AI tools specifically. The gap is staggering given that generative AI is the exact tool employees are using without oversight.
The risks of operating without a policy are concrete. Data exposure: employees pasting customer data, financial information, or proprietary code into AI tools where it becomes part of the training data or is accessible to the vendor. Accuracy liability: using AI-generated content in customer communications, contracts, or regulatory filings without human verification. Compliance violations: processing personal data through AI tools that lack adequate data processing agreements. IP leakage: feeding trade secrets, competitive strategies, or pre-release product information into third-party AI systems.
Samsung, Apple, JPMorgan Chase, and Amazon all restricted employee AI tool usage after internal data exposure incidents. These companies have thousands of security professionals. If they''re getting caught off guard, a 200-person manufacturer or services firm without an AI policy is running a bigger risk proportionally.
Policy Framework: The Seven Sections Every AI Policy Needs
Section 1: Scope and Definitions
Define what "AI tools" means in your context. Be specific: this includes generative AI (ChatGPT, Claude, Gemini), AI features embedded in existing software (HubSpot AI, Salesforce Einstein, Microsoft Copilot), automated decision-making tools, and any third-party AI APIs used in company workflows.
Section 2: Approved Tools and Platforms
Maintain an explicit list of approved AI tools. For each approved tool, document the vendor, the data processing agreement status, which data classifications are permitted, and who has access. Unapproved tools require IT/security review before use. According to IEEE''s 2025 Standards for AI Ethics, maintaining an approved tool registry is a baseline governance requirement.
Section 3: Data Classification and Input Rules
Not all data should enter an AI system. Define three tiers: Permitted (public information, general business questions, non-sensitive internal content), Restricted (internal strategies, non-PII customer data — approved tools only with manager approval), and Prohibited (PII, PHI, financial records, trade secrets, legal documents, source code — never enters external AI systems).
Section 4: Output Review and Verification Requirements

All code generated by AI must go through standard code review. AI-generated data analysis must be verified against source data. No AI output is used as the sole basis for decisions affecting customers, employees, or legal obligations.
Section 5: Disclosure Requirements
When must AI assistance be disclosed? The EU AI Act requires transparency for AI-generated content in many contexts. Even without legal requirements, define your company''s standard: AI-assisted customer communications may need disclosure in regulated industries. AI-generated marketing content should follow industry norms. Internal AI usage should be tracked for audit purposes.
Section 6: Training and Compliance
The policy is useless if nobody reads it. Require annual training on AI usage policies for all employees. Quarterly updates as new tools are approved or policies change. Manager-level training on how to identify and address shadow AI usage. New hire onboarding should include AI policy overview.
Section 7: Enforcement and Incident Response
Define consequences for policy violations and the process for reporting and responding to AI-related incidents. This mirrors your existing data security incident response process — add AI-specific scenarios to your existing playbook.
